Minutes of Friends of Cambridge Athletics Meeting

November 14, 2006 

 

Present:

Lynette Barnes, Barbara Brammer, Maria DiClemente, Theresa Harrington, LeJuanna Harris, Nancy Lange, Paula McCarthy, Bob McGowan, Elaine O’Reilly, Marion Phillips, Risa Pittman, Susan Ruff, Mary Sutula

 

Paula McCarthy, FOCA President, called the monthly meeting to order at 6:10 P.M.

 

1)      Minutes from the October meeting were approved.

 

2)   New Business

FOCA Grant Recommendations

Report of the Fall Round Grants was distributed.  The report was broken down and results were given of each team grants. 

 

·        Maria explained what CRLS would and would not pay for.

·        Girls Soccer:  CRLS provides Soccer balls, requested post season training sessions for fitness, etc. that would be open to all teams.  ($1,000)  Paula suggested that since other teams would be involved (use money from their grants to provide).

·        Gymnastics:  Requested $3,037.00 for teacher training programs and programs for coaches.  Maria stated that we do not pay coaches for workshop series.

·        Girls Basketball: Requested $1,000 for Young Women in Sports.  Foca recommended $600.00.

·        Sailing:  Request for a 3 days workshop – Instruction for team sailing.  Harvard workshop 2-4 students to train to Coach.  Granted by FOCA.

·        Hockey (G&B): Granted the Polymetric boxes.

·        G. Lacrosse:  Rebounding balls, granted one for girls and one for boys.  A discussion took place on the possibility of sharing (But would they have to transport to different locations).

·        Lacrosse Teams:  CRLS provides nets, team uniforms, equipment (service calls, replacement parts, etc., score board), cones, transportation, Officials and signer for officials.

·        Baseball:  Batting cage (in Field House)  -  (Maria budgeted for it this year)

·        Volleyball – can be done, video camera (has to be shared by all team) possibly get more than one.  Discussion on how to get the Media Center involved (well trained students) Possibly give money to the Media Center for incentive to get students to record but not pay student (cannot pay for services).

 

 

·        Football – Team requested various equipment.  Passing machine and pads to place on Goal Post with Falcons customized on them.  Maria stated that CRLS could supply goal pads only ($580.00 a pair).  Suggestion was made to work with the football team involving a fundraiser to get funds for the passing machine or reapply in Spring. (Escrow)

·        Golf – Requested various equipment – driving range, instructional videos and transportation to driving range.  FOCA does not pay for transportation.  Grant was given, Paula stated only for this 1 time, it will not pay ever year.

·        Swim Team – Team requested banners banners.  Maria stated that CRLS only provides for the GBL League Championship banners. The team also requested a Pace Clock (Maria stated CRLS can supply).

 

            -     The final total for Grants amounted to $5,738 from $6,438.  A difference of $700.00 in savings.

-         Paula motioned that we table the discussion until our next meeting in Dec. 06 to make a decision on how to distribute the extra amount of money to teams.

-         Motion accepted unanimously.

 

3)      Treasurer’s Report – Barbara Brammer

·        Barbara made some suggestions regarding how to keep informed with coaches to let them know the amount they have to spend and also letting them know the policy of keeping track of bills (bills that need to be paid and bills that have been paid).  Coaches need to let Barbara know or notify the Athletic Office, Coaches need control of their receipts.  Suggestion: designate a person for each team to handle receipts, money etc.

·        Football Team:  A serious discussion took place regarding the situation with the Football Team Fund (Parent).  Bob McGowan, Maria D. stated that this is a very serious situation and can damage CRLS and FOCA.  Deadline for cash returned has passed.  FOCA will take action on 11/15/06; Lawyer will be involved (FOCA Atty.).

·        A discussion on procedures and policy to be written and process to be followed.  FOCA will follow through.

 

  4)       Rugby Team: Paula (e-mail) Rugby Team will not be able to have a Varsity Team.  Maria:  Funding is not available.  It is not considered a Varsity Team.  It is considered a club team.

 

-         Paul motioned to table this discussion to the next Dec. FOCA Meeting, need more information to be able to hold discussion and resolve

 

 

  5)       Calendar Raffle:        LeJuanna and Theresa suggested that we moved the raffle from January to February 07.  LeJuanna stated that it will give more time for donations to arrive and February is a shorter month than January.  It was agreed upon that the $500.00 prizes be cut to $100.00 prizes to save on cash.

-         Theresa stated that 44 letters were sent out in the beginning of October for donation requests.  We received 3 responses with donations:

-         Marlowe Hotel – Weekend overnight stay.

-         The Charles Hotel – One night stay.

-         Royal Sonesta – 1 night stay

-         The Boson Ballet and The Marriott Boston/Cambridge both

      declined.

-         Lejuanna & Theresa will have conversations regarding the tickets and printing of the calendars.

6)              Reminder that Greg Dale will be at CRLS on Thursday, Nov. 16th.

7)              Letter for proposal from the Mayor’s Office.  Suggestion to meet with the Mayor and discuss further. (Will be tabled)
